MEDCON23 Terms and Conditions
1. Participation Risk:
a) By participating, Delegates acknowledge that AMA (WA) and / or the Conference Organiser do not accept liability for any financial or other loss; damage; accident, or injury to property or persons; change of schedules, speakers, or topics; or other events not caused by or not within the reasonable control of AMA (WA) and / or the Conference Organiser.
2. Privacy Policy:
a) AMA (WA) and the Conference Organiser collect, use, and disclose Delegates personal information (including credit card information) to administer the Conference, in accordance with these Terms and Conditions and in all other respects, in accordance with AMA (WA)’s Privacy Policy.
b) The purposes of disclosing personal information include (but are not limited to) payment processing; producing a list of Delegates; marketing by AMA (WA) and our Conference Sponsors; notifying external parties for CPD recording purposes; and informing the Conference Organiser and Conference Venue about a Delegate’s special requirements and requests.
c) Delegates may decline to be included on a list of Conference Delegates or receive marketing information from AMA (WA) or our Conference Sponsors by emailing medcon@eventandconferenceco.com.au.
3. Registration:
a) The Conference Organiser has discretion whether to accept a Delegate’s Conference registration but shall provide an email confirmation and a tax invoice once registration is accepted. All event attendees who register for MEDCON23, MEDBALL23, MedVault and/or a Pre-Conference Masterclass are agreeing to abide by the COVID-19 government regulations and will be able to provide proof of double vaccination, to attend all events, if required.
4. Payment:
a) All prices are quoted in Australia Dollars.
b) Credit Card payments are accepted, or Delegates may email medcon@eventandconferenceco.com.au to request payment by electronic funds transfer.
c) Credit Card payment is required if registering within 14 days of the Conference commencement date.
5. COVID-19 Vaccination:
a) Should the Western Australian Government’s directions, mandates, legislation or policies, or Crown Perth’s policies require that people attending Crown Perth are vaccinated against COVID-19 at the time of the event, all event Delegate’s must provide proof of their vaccination status or a valid medical exemption prior to attending Crown Perth.
6. Session Capacity:
a) Some Conference sessions may be capacity restricted for reasons including venue capacity; CPD requirements; COVID-19 directions; or other government guidelines. AMA (WA) and the Conference Organiser do not guarantee or warrant that Delegates will be able to attend any particular session.
7. Continuing Professional Development (CPD) Hours:
a) The allocation of CPD hours for attending a particular session is at the discretion of CPD Home and each participating specialist medical college. The Conference Organiser does not guarantee or warrant that a Delegate will be able to claim CPD hours or be able to claim a certain number of CPD hours by attending any Conference session.
8. Conference Postponed or Cancelled due to COVID-19:
a) If the Conference is postponed due to changes to rules relating to public gatherings imposed by any authority authorised to impose such rules, or changes to the availability of the Conference Venue due to such rules:
i. Delegates will be notified of the new Conference dates and the cancellation terms applicable to the new Conference dates;
ii. If within 14 days of being notified new Conference dates, a Delegate notifies the Conference Organiser by emailing medcon@eventandconferenceco.com.au that the Delegate is unable to attend the postponed Conference, a full refund will be provided; and
iii. Delegates may notify a change of Delegate by emailing medcon@eventandconferenceco.com.au before 5pm on the last working day that is not later than 7 days before the commencement of the new Conference dates.
b) If the Conference is cancelled due to changes to rules relating to public gatherings imposed by any authority authorised to impose such rules or changes to the availability of the Conference Venue due to such rules, Delegates may apply for and receive a partial refund after the payment of conference liabilities and expenses.
9. Conference Postponed or Cancelled in other circumstances:
a) Subject to these Terms and Conditions, the Conference commences on 22 June 2023 and ends on 24 June 2023.
b) In addition to a postponement or cancellation under the terms of clause 8, the Conference may be cancelled or postponed due to any unforeseen event that makes it impossible, impracticable, or unadvisable for the Conference to proceed on these dates and AMA (WA) and the Conference organiser do not accept liability for any financial or other losses arising from or in connection with the Conference being cancelled or postponed.
c) If the Conference is postponed Delegates will be notified of the new Conference dates and the cancellation terms applicable to the new Conference dates.
d) If within 14 days of being notified new Conference dates, a Delegate notifies the Conference Organiser by emailing medcon@eventandconferenceco.com.au that the Delegate is unable to attend the postponed Conference, a full refund will be provided.
e) If the Conference is cancelled under the terms of this clause, Delegates will be notified and may apply for and receive a refund by emailing medcon@eventandconferenceco.com.au.
10. Delegate Cancellation:
a) Delegates may cancel their Conference registration by emailing medcon@eventandconferenceco.com.au or calling 08 6102 2516.
b) Cancellations received before 5pm (AWST) on 24 April 2023 will receive a full refund.
c) Cancellations received after 5pm (AWST) on 24 April 2023 and before 5pm (AWST) on 24 May 2023 will receive a 50% refund.
d) No refunds will be given for cancellations received after 5pm (AWST) on 24 May 2023.
e) If a Delegate cannot attend the event due to contracting COVID-19, you may transfer your registration to another participant of your choice by emailing medcon@eventandconferenceco.com.au.
11. Change of Delegate:
a) Delegates may notify a change of Delegate by emailing medcon@eventandconferenceco.com.au by 5pm (AWST) on 16 June 2023. Notifications received after this time will not be accepted.
12. Delegate Responsibilities:
a) Delegates are required to comply with the Conference Venue’s dress policies; required standards of behaviour; refusal of service (of alcohol) policy; and refusal of entry (to the Conference Venue) policy
published and maintained in the Conference Guidelines as well as any verbal or written instructions given by Conference Venue staff.
b) AMA (WA) and the Conference Organiser accept no responsibility for any decision by the Conference Venue staff to restrict or prevent any Delegate or group of Delegates from being served food and drink and / or being permitted entry to the Conference Venue or any part of the Conference Venue.
13. Dietary Requests:
a) Delegates may notify dietary requirements and requests prior to 5pm on 8 June 2023 by completing and returning a dietary request form available by emailing medcon@eventandconferenceco.com.au.
b) Whilst the Conference Venue will attempt to offer a Delegate’s notified food choices, neither the Conference Venue, nor AMA (WA), nor the Conference Organiser, guarantee or warrant that food served and / or purchased at the Conference Venue is Halal, gluten-free or free from allergens.
c) The Conference Venue does not offer Delegates the facility of requesting different meal items at the Conference dinner.
14. Photography and Videography:
a) MEDCON23 sessions will be recorded. Where approved by the AMA (WA), some session recordings will be repurposed as self-paced online learning, accredited by CPD Home as a CPD activity and made available to all doctors subscribing to the AMA (WA) CPD Home service in 2023.
b) Delegates acknowledge that the Conference sessions and events will be video recorded, sound recorded and photographed. By attending Conference sessions and events, Delegates consent to being filmed, recorded, and photographed and for those films, recordings, and photographs to be used by AMA (WA) for advertising, information, and promotional purposes.
15. General:
a) Any failure or delay by AMA (WA) or the Conference Organiser to enforce the applicable terms or any relaxation or indulgence granted by AMA (WA) or the Conference Organiser does not affect or waive the rights of AMA (WA) and the Conference Organiser under these Terms and Conditions.
